This policy explains how personal data is processed when you visit trueloops.ai or contact us. For the Trueloops platform itself (the product our clients operate), a separate data-processing framework applies and is part of each client agreement.

I. General information

Personal data is any information relating to an identified or identifiable natural person — for example your name, e-mail address or online identifiers. We process such data in accordance with the EU General Data Protection Regulation (GDPR) and the German Federal Data Protection Act (BDSG). We collect personal data on this website only to the extent described below.

  • restriction of processing (Art. 18 GDPR),

  • lodge a complaint with a data protection supervisory authority (Art. 77 GDPR) — for Cocomore AG, the competent authority is the Hessian Commissioner for Data Protection and Freedom of Information.

III. Data collected when visiting this website

When you visit trueloops.ai, our web server automatically processes technical information that your browser transmits (legal basis: Art. 6(1)(f) GDPR — our legitimate interest in providing a secure, functioning website):

  • IP address,
  • date and time of the request,
  • pages visited and duration of the visit,
  • HTTP status codes and transferred data volume,
  • browser type, version and language,
  • operating system,
  • referrer URL.

Server log data is used exclusively for technical administration and security (e.g. abuse and attack detection) and is routinely deleted when no longer required for those purposes.

IV. Cookies and tracking

This website sets no tracking or analytics cookies and uses no third-party advertising or analytics services. Should individual functions require a technically necessary cookie (for example load-balancing), such cookies contain no cross-site tracking and are deleted when you close your browser (legal basis: Art. 6(1)(f) GDPR). Because we use no consent-requiring cookies, this website shows no cookie banner — there is simply nothing to consent to.

V. Contacting us

If you contact us by e-mail (for example at info@trueloops.ai or the addresses on our contact page), we process the personal data you provide — such as your name, company, e-mail address, phone number and the content of your message — to handle your inquiry. The legal basis is Art. 6(1)(b) GDPR where your inquiry relates to a contract or pre-contractual measures, otherwise your consent (Art. 6(1)(a) GDPR) and/or our legitimate interest in answering you (Art. 6(1)(f) GDPR). We delete this data once its storage is no longer necessary, unless statutory retention obligations require otherwise.

This website contains links to external websites (for example www.cocomore.com). We have no influence on, and accept no responsibility for, the processing of personal data by the operators of linked sites. Please consult the privacy information of the respective operator.

VII. Use and purpose limitation

We use personal data solely for the technical administration of this website and for handling your inquiries. Our employees and any commissioned service providers are bound to confidentiality and to compliance with the GDPR and the Federal Data Protection Act; compliance is reviewed regularly. Data is not sold, and is not shared with third parties except where described in this policy or required by law.

VIII. Use of data for product information

We use your personal data to inform you about our products and services only where you have expressly consented. You may withdraw such consent at any time with effect for the future; we will then cease this use and erase the data concerned, unless statutory retention periods (e.g. under commercial or tax law) require continued storage.

IX. Withdrawal of consent and objection

You may withdraw any consent you have given at any time with effect for the future. Where we process data based on legitimate interests (Art. 6(1)(f) GDPR), you may object on grounds relating to your particular situation; we will then review the processing and either discontinue it, adapt it, or demonstrate compelling legitimate grounds for its continuation.

X. Automated decision-making and data transfers

No automated decision-making or profiling within the meaning of Art. 22 GDPR takes place on this website. This website is hosted in Germany; personal data collected through it is not transferred to third countries.

XI. Privacy in the Trueloops platform

The Trueloops platform — the software our clients use to run engagement and reward campaigns — processes consumer data on behalf of the respective client (brand), who acts as controller; Cocomore AG acts as processor under a data processing agreement (Art. 28 GDPR). The platform is engineered for GDPR compliance: consent is recorded with every datum, withdrawals propagate deletion, data is hosted in the European Union, and clients can export their data in full at any time. Details are governed by the client agreement and its data processing annex. Where AI-assisted receipt verification is used, receipt images are processed for verification of the specific submission only and are not used to train models; details, including any sub-processors involved, are listed in the client agreement's sub-processor annex.
